Pre-Wedding Activities for Guests: What We Recommend as Luxury Planners

When your wedding's a proper weekend away, whether that's a villa abroad or a stunning country house here at home, you're not just asking guests for an afternoon. You're asking for time off, travel, and extra costs! That's a big ask, we know. But it can also be a gift to be savoured. You've got your favourite people in one gorgeous place for days, not hours, and that's where the real magic happens.

Here's what we've learned after years of working as international wedding planners. What you do with that time is everything. Lay on the right activities and the whole trip becomes a holiday nobody ever forgets. Your wedding? The glorious high point. Leave guests to fend for themselves and, well, they'll either twiddle their thumbs or turn up shattered. Neither's the dream!

So here are the pre-wedding activities we absolutely love, and how we'd pace them so the whole weekend feels like a joy.

Start with a proper welcome event

The first night sets the tone for everything, so let's make it a good one!

A welcome event is the warm-up your weekend has been waiting for. Your guests have just travelled, half of them have never met, and the excitement's bubbling away. A relaxed do that first evening breaks the ice in the loveliest way. Think drinks at sunset, easy food, zero fuss. By the time the ceremony rolls around, everyone's chatting like old friends.

Honestly, this is our number one. Skip it and your wedding day does all the heavy lifting. Nail it and the whole weekend just flows.

The welcome party isn't a nice-to-have. It's the warm-up that makes all the magic afterwards so much easier!

Get everyone out together

Once the ice is broken, treat your guests to a proper adventure!

The activity matters far less than the togetherness. Being out in a beautiful place as a group bonds people faster than any seating plan ever could.

A few we adore:

  • A private boat day or sunset sail along the coast
  • A long, lazy lunch at a gorgeous local vineyard
  • A guided wander through the old town or a buzzing market
  • A hike, a tennis morning, or a round of golf for the active ones
  • Snorkelling or kayaking if you're lucky enough to be by the water
  • Afternoon tea, a countryside ramble, or a classic-car spin if you're closer to home

We saw the magic of this firsthand at a Mallorca wedding. We popped two families who'd barely met on a boat for the afternoon. They set off perched politely on opposite ends of the deck. By the time we sailed back in, they were swapping numbers and sorting out who'd sit with who! No icebreaker we could have dreamed up would have worked half as fast. And honestly? It works just the same at a country house here as it does on a boat off Mallorca.

Keep it optional, though. Not everyone fancies a snorkel or a hike, and that's totally fine. The idea is to offer the fun, not herd people through it!

Let the place do the work

Here's where your setting really gets to show off, wherever in the world it is. Use it!

You chose this spot for a reason, so let your guests fall head over heels for it too. These are the bits people chat about for years. The afternoon they learned to make pasta in Puglia, or tasted their way round a Cotswolds gin distillery.

Some of our favourites:

  • A cooking class in the local food
  • A wine, gin, or olive oil tasting (English fizz counts!)
  • A food tour through the backstreets with a local guide
  • A craft session with a local maker, from pottery to weaving
  • A music or dance night true to the place

It's also a wonderful way to support the gorgeous spot that's hosting you. Local guides, local producers, local flavour. That's the difference between a wedding that simply happens somewhere and one that truly belongs to it.

Weave in some wellness

The run-up to a wedding can be a whirlwind! A little calm goes a long way, for you and your guests both.

Lay on a few gentle treats people can dip into:

  • A sunrise yoga or Pilates session
  • Spa treatments and massages for the wedding party
  • A guided meditation or a dreamy sound bath
  • A morning swim and a long, slow breakfast
  • A personal trainer session for anyone keen

Even one of these sets a blissful tone for the trip. Nobody wants to reach the big day frazzled!

Build in nothing at all

Now here's the bit couples forget, and the bit we'll always champion. Leave some gaps!

It's so tempting to cram every hour so guests feel spoiled. Resist! People have travelled, the sun's out, and what they crave most is a slow morning by the pool with nothing booked. Downtime isn't dead time. It's when your guests properly relax. It's what stops them turning up to your wedding worn out.

A spa afternoon. A free morning. A lazy lunch with nothing after it. Build the rest in on purpose.

So how do you plan it all? Get help from the experts!

The secret is rhythm. One lovely group event, then some breathing room. Something to do, then blissfully nothing. A sprinkle of adventure for the lively ones, and plenty of calm for everyone else.

Three things to pop in your pocket. Open with a welcome party, it does the most to bring everyone together. Lean on your setting, a local experience beats a generic one every time. And leave real gaps, because the most generous gift you can give travelled guests is time to rest.
